PURPOSE OF THE ROLE….
Supporting (and reporting to) the Regional & Corporate Services Manager in the drive to achieve excellence in the areas of Health & Safety, office management and delivery on related projects.
QUALIFICATIONS / SKILLS / EXPERIENCE THAT WILL CONTRIBUTE TOWARDS YOUR SUCCESS IN THE ROLE….
Relevant qualifications and related experience in facilities in a fast paced environment
Any additional qualifications relating to Health & Safety a big plus
High attention to detail
Administratively competent with good computer skills
Strong communication skills – written and verbal
Strong ability to problem solve
Customer centric approach
Safety & security conscious
Excellent organizational skills
Overseeing activities of a small team of support staff who will report in directly to you.
You will be tasked with directing their work efforts and overseeing their performance and development
HEALTH & SAFETY:
Ensuring that we have, at all times, the correct number of Wardens for Fire & First Aid
Communications to staff of fire drill / evacuation procedures
Fire risk assessment undertaken / documented / maintained
Maintenance of fire related equipment – panels, extinguishers etc
Organisation of annual PAT testing
General risk assessment organized / undertaken / documented
Emergency light testing
Ensure sustainability of procedures / policies / processes
Desk moves / set up for new starters & maintaining the seating plan
Assist with space management and updating information into the facilities management system
Dealing with all building related issues and liaising with landlords / property managers
Managing the Security Company and dealing with emergencies
Internal & external supplier relationships
Oversee maintenance of office equipment
Stationery & printing
Assisting with setting & tracking of budget
Liaising with cleaning staff & ensuring that they have everything they need to be effective
Assisting with budgeting/forecast process
Environmental impact surveys for all International Offices (travel and electricity usage for example)
Transfer of all buildings over to one energy supplier to harness cost savings
Ad hoc projects – working with the US on the scoping and roll out of new systems / tools / policies etc
VENDOR MANAGEMENT SYSTEM:
Creating engagements for new vendors and uploading relevant documentation
Building relationships with Risk Managers & Lawyers to facilitate the vendor process
