Reception

  • Create a positive, professional environment for all guests, clients and associates
    • Monitor visitor access and maintain security awareness
  • Maintain a clean desk environment at all times
  • Answer incoming calls
    • Understand full operation and capabilities of office phone system
Administrative
Responsible for providing administrative support to VP and above level associates, working independently and effectively under general supervision along with maintaining confidentiality and exercising discretion
  • Travel reservations
  • Expenses
  • Calendar Support or Management as needed
  • Meeting logistics
      • Meeting invites
      • Conference room reservations with dial-in and WebEx as needed
      • Catering
      • Dinner reservations
  • Contract support (signatures)
  • Purchase Orders
  • Manage Corporate Purchase Card charges and reconciliation

Other
Partner with facilities staff:
  • Providing assistance for general office support needs/requests, building management, shipping/mail, office supplies, ergonomics and security badges. Assist onboarding new hires as needed with desk assignment, phone installation etc.
