Contracts Administrator

The successful candidate will provide support for a high volume of contracts and other documents for the Contracts department and company executives included but not limited to, entering new agreements to and updating old information in the contract management system, ensuring proper execution and posting of executed documents, maintaining and updating a weekly contracts log, executing on weekly contract reports involving key contract metrics for executive consumption, and other tasks/projects as needed/assigned. As time permits and the individual’s skill set demonstrates, the Contracts Administrator will be trained to independently support standard Non-Disclosure agreements, assist in Contracts department responses for Requests for Proposal (RFP); and begin limited involvement in reviewing/editing other documents as requested by other Contracts department members. 

Key Responsibilities:
• Work independently on assigned duties, process and projects utilizing critical thinking to ensure timely and accurate execution of   contract management and reporting tasks
• Monitor and process new contract requests
• Ensure all contracts are properly set up and uploaded to the shared databases and the contract management system 
• Serve as the contracts administrative liaison to the broader business and sales, coordinating the lifecycle of the contract in accordance with established processes and with the assistance of others in the Contracts department
• Prepare contract briefs summarizing contractual terms
• Capture, track, and report on key metrics related to specific contracts, the contracting process and organizational objectives
• Assist with establishing and updating contract management policies and procedures
• Maintain files, databases, and other central repositories of existing contracts in accordance with organizational policy and procedures
• Assist with post-execution contract management tasks related to the contract lifecycle, such as extensions or amendments, reporting on expiring contracts, and tracking required deliverables
• Create and prepare weekly and ad hoc reports to provide management with visibility over contract statuses and other key metrics
• Assist with RFP response collection and management as needed and directed
• If established a duty, review, edit and process standard NDAs
• Other projects as time and skill set permit and identified by the Contracts department.

• BA required; Paralegal or JD preferred
• Successful candidates must have a minimum of 2 years of relevant work experience 
• Advanced knowledge and experience with Microsoft Office Suite; especially Word and Excel, including creating and using pivot tables
• Must be a self-starter, have an ability to successfully navigate an organization that is busy, problem solve, and use critical thinking skills
• Excellent verbal and written communication skills; in particular editing for grammar and punctuation; ability to effectively communicate with client contract management personnel 
l• Must be collaborative and a team player with a customer service orientation
• Exceptional attention to detail and accuracy 
• Demonstrated ability to manage a high volume of contracts in an administrative capacity and execute on process in a timely manner
• Proven to be highly organized, execute with excellence despite short deadline pressures and balance competing projects
• Proven capability to create reports in Excel and successfully extract data within a contract management system
•Experience working with a commercial contracts management system a plus• Understanding of basic commercial contract provisions
• Experience reviewing and drafting NDA’s a plus
