Reports To: Qualifications Programme Manager
Salary: £21,000-£22,000 FTE
Contract: Six months fixed term
To manage the administration of the assigned Qualification Programme(s) on a day to day basis.
Qualification Programme Co-ordinators manage the complete administrative function of the qualification programmes. They are the central point of contact for the student from the student’s acceptance on to the programme until the point of graduation.
Working closely with the faculty team and other colleagues you will provide a high level of customer focus to support the students throughout their programme, create and maintain efficient processes and records, attend and minute key programme meetings, and deliver the logistical organisation of modules/workshops. The nature of the role is highly pro-active and requires collaboration with the Director of Qualification Programmes, Head of Student Experience, the relevant Academic Director(s), Ashridge Faculty and Adjuncts, Student Recruitment, the Quality team, the Registrar and other departments at Ashridge, e.g., Library, Transport, IT, Events, Food and Beverage.
Programme coordinators are also responsible for supporting wider departmental projects, or assisting on other programmes, as and when required.
Providing the first line of support for all student enquiries during the programme, either via phone, email or in person
Be available to meet with students when in module to ensure that their enquiries and requests are dealt with in a friendly yet professional and confidential manner, and ensure that their administrative requirements are met
Working in conjunction with programme team colleagues to produce the Student Handbook
Teaching & Learning Delivery and Evaluation
Support faculty in the preparation and delivery of face to face workshops both at Ashridge and off-site (including preparation of course material and teaching room bookings etc.)
Supporting faculty in the preparation and delivery of virtual sessions (e.g. webinars, asynchronous discussion forums); technically hosting webinars as and when required
To compile, collate, order, circulate supporting material/information (e.g. case studies, exercise briefs, timetables, participant lists)
To prepare module and workshop timetables in conjunction with Faculty and Associates, for clear communication to the student body
Supporting the creation and maintenance of the online learning platform to ensure that all students have the relevant access, it is kept up to date with information and content, and that all functionalities remain in working order to provide a high quality of student experience.
Responsible for composing and scheduling of student notifications sent out via the online learning platform
To assist in the planning/organisation of any national or international study trips, or company visits, with faculty/students, and attendance at these where appropriate
To record, collate and circulate course reviews post module
To process all student assessments (assignments, projects etc.), encompassing submission, organisation of marking schedules, academic record management and feedback of results.
Monitoring of student progression using efficient systems and processes throughout the programme, and ensuring that student details are updated as required.
General Programme Administration
Diarise and book rooms for Programme Management Team Meetings, Module Leaders Meetings and other meetings, as required
Preparation of agendas and minute taking at Programme Management Meetings, Board of Studies and other programme-related meetings, as required
Support the Academic Director and Programme Manager with other general administrative tasks.
Booking student accommodation and meals during delivery sessions, as appropriate.
Creation and management of student arrivals portal.
To act as a key representative for the programme(s) within the wider organisation and build strong relationships with colleagues to support the effective servicing of a broad range of student and faculty requirements.
Student recruitment and enrolment
Working together with the Student Recruitment team, where relevant, to respond to programme enquiries and process acceptance forms.
To attend or support the organisation of open days, information sessions or selection events.
To support the organisation of admissions interviews, as appropriate, and provide site tours for prospective students
To prepare and issue a joining instruction package to enrolled students before the programme starts
Registering all students on the student information system, and any others as required
Co-ordination of student body ‘snapshot’, including brief bio-notes and photographs for each participant to introduce them to faculty and other staff
Wider Departmental Projects
These may include (but are not limited to): supporting the adoption of new IT systems and managing these systems once in place, Quality team administration, cover for / support to other colleagues during peak times.
