The Opportunity:
To manage the administration of the assigned Post-graduate Qualification Programme(s) on a day-to-day basis.
This central function supports students in their study from the start of their programme through to graduation. As the central point of contact for the student, faculty and internal departments, it is essential that they develop strong collaborative relationships with all stakeholders to provide a professional and highly pro-active service. All planned activities are to be managed and executed successfully, on-time and in accordance with academic regulations. It is imperative that they are highly client focused.
Programme Co-ordinators are also responsible for supporting wider departmental projects, or assisting on other programmes, as and when required.

Responsibilities:
Student Support
Provide responsive first line support for all student enquiries via phone, email or in person
Meet with students when in module to ensure that their enquiries and requests are dealt with in a friendly yet professional and confidential manner
Communicate timely and clearly to students and guide them through the various stages of the programme
Produce the Student Handbook in conjunction with the programme team
Respond to any issues raised by the Board of Studies process
Assist students with any training they may need on online learning platform
Teaching & Learning Delivery and Evaluation
Support faculty in the preparation and delivery of face-to-face workshops both at Ashridge and off-site. This can include the creation and distribution of course material, case studies, exercise briefs, timetables, room bookings and participant lists)
Support faculty in the preparation and delivery of virtual sessions (e.g. webinars, asynchronous discussion forums); technically hosting webinars as and when required
Support the creation and maintenance of the online learning platform to ensure that all students and faculty have relevant access, that it is kept up-to-date with information and content, and that it functions as part of a high quality student experience
Liaise with the Library to ensure that all published material has appropriate copyright permission
Compose and schedule student notifications via the online learning platform
Assist in the planning/organisation of any national or international study trips, or company visits, with faculty/students, and attendance at these where appropriate
Record, collate and circulate course reviews post module
Assessment
To process all student assessments (assignments, projects etc), encompassing submission, organisation of marking schedules, academic record management and feedback of results.
Assist with the organisation and administration of face-to-face assessments such as practical accreditations or vivas, as required.
Student Progression
Monitor student progression using efficient systems and processes throughout the programme, and ensure that student details are updated as required.
General Programme Administration
Schedule and book rooms for Programme Management Team Meetings, Module Leaders Meetings and other meetings, as required
Preparation of agendas and minute taking at Programme Management Meetings, Board of Studies and other programme-related meetings, as required
Book student and faculty accommodation and meals during delivery sessions, as appropriate.
Creation and management of student arrivals portal
To act as a key representative for the programme(s) within the wider organisation and build strong relationships with colleagues to support the effective servicing of a broad range of student and faculty requirements
To think and act pro-actively to help pre-empt student needs for future programme stages
Support the Academic Director and Programme Manager with other general administrative tasks.
Student recruitment and enrolment
Together with the Student Recruitment team, respond to programme enquiries and progress applications, where appropriate
Attend or support the organisation of open days, information sessions or selection events
Support the organisation of admissions interviews, as appropriate, and provide site tours for prospective students
Prepare and issue a joining instruction package to enrolled students before the programme starts
Register all students on the student information system, and other systems as required
Co-ordination of student body ‘snapshot’, including brief bio-notes and photographs for each participant to introduce them to faculty and other staff
Wider Departmental Projects
These may include (but are not limited to): supporting the adoption of new IT systems and managing these systems once in place, Quality team administration, cover for / support to other colleagues during peak times.

Salary: £21,000-£22,000 FTE
Contract: Maternity cover up to 12 months, starting 1 February 2017
Part-time 24 hours per week
