Front of House / Office Administrator
Areas of Responsibility Front Desk
Ownership for the front of house environment, delivering a first class reception service to clients, staff and visitors while maintaining high standards.
Provide a warm welcome to all visitors on their arrival, assisting them in a courteous and professional manner, demonstrating full knowledge of the School and its departments.
Taking a proactive approach to visitor management, building relationships with our client and other onsite contractors, vendors, prospective students.
Keeping track of visitor details to ensure a professional customer service.
Establish and maintain effective working relationships with staff, students, visitors and vendors.
Work closely with Student Services team on student related queries to ensure a seamless student experience.
Deal with customer complaints politely and positively making every effort to quickly resolve them.
Perform reception duties in an efficient, professional and courteous manner.
Answer a high volume of calls, maintain a rapid response and distribute messages.
Track receipt of courier deliveries and coordinate delivery collection.
Develop, implement, and improve administrative processes, such as supplier managemenT and filing systems.
Deal with external/internal room booking requests, including room set up arrangements and caterings.
Assist the Operations Manager with the following:
Maintaining policies and procedures as they relate to facilities/campus management, such as: Health & Safety, Emergency Response, and Staff on boarding.
Open the building and complete building checks.
Distribute daily staff mail.
Provide and distribute student ID cards to all Hult students.
Ensure that all stationary stocks are maintained to optimum stock levels and, if required, order goods as necessary subject to approval and in line with purchasing and stock control procedures.
Add accident details to the Accident Log book as necessary.
Maintain office and facilities’ key records in the Key Log book.
Look after security pass requests and update access.
Assist with basic maintenance and handyman issues.
Arrange and participate in meetings, events, take minutes when required.
Type and word-process various documents and electronic information.
Assist with logistics for campus-wide initiatives, such as off-site events.
Provide general administrative support to Campus staff, if needed.
Assist the Student Services & Events teams to coordinate on campus events.
Provide information on general public transport options, tours, and events both on campus and in London in general.
Provide information on, and maintain relationships with, the local amenities and help build relationships with the local businesses, cafes, pubs, restaurants etc. for the benefit of Hult Students and Staff.
Accquire a general well-rounded knowledge of campus operations and happenings.
Work Experience and Skills
Proven track record of customer service experience in a 5* and/or corporate environment
Strong interpersonal skills as well as verbal and written communication skills, including excellent face-to-face and telephone communicator
Commitment to quality and high level of customer service
Excellent organisational and administrative skills
Educated to a Degree level
Strong computer skills including Microsoft Word, Excel & PowerPoint
Flexibility to respond to a variety of work situations
Ability to work on your own and as part of a team
High level of commercial awareness
Ability to prioritise and handle multiple tasks and deadlines
Exceptional time management skills
Experience working in a higher education environment desirable
Working Hours: 0800-1700 Monday to Friday
