Accommodation Officer

Job Description: Accommodation Officer, EF Academy Torbay

Reporting to: Deputy Head Pastoral

  1. Key Responsibilities

 

  1. Monitor student satisfaction and communicate with providers to ensure an excellent level of service is provided at all times
  2. Ensure Host family compliance with the terms and conditions of the Host Family agreement
  3. Line–manage a team of Residential House Parents and an Accommodation Administrator
  4. Deal with payments and invoices
  5. Build strong relationships with EF Academy colleagues, in particular the Deputy Head Teacher Pastoral at EF Academy Torbay and Guidance Counsellor Team
  6. Communicate with relevant colleagues on a regular basis to understand the needs of each part of the business in terms of accommodation requirements now and in the future
  7. Advise relevant colleagues and EF Academy Management on availability of accommodation in a timely manner to ensure voids are minimised but also to ensure there is sufficient availability
  8. Communicate with colleagues on a regular basis regarding student requirements, paying particular attention to any welfare issues and ensuring that information is passed to the relevant person as a priority
  9. Make accommodation bookings on behalf of EF Academy
  10. Liaise with the School Guidance Counsellors in dealing with behaviour and welfare issues

  1. Accommodation Management and administration

 

  1. Line manage a team of residential House parents
  2. Keep accurate records of all accommodation bookings
  3. Oversee the residence allocation to ensure that voids are minimised and that
  4. enough rooms are available throughout the year to maintain the bookings pipeline
  5. Place students in residences, homestays or independent living facilities as per their requirements
  6. Provide the Admissions Offices with information on accommodation bookings in a timely manner

 

  1. Transfers

 

  1. Oversee the booking of all airport transfers for arriving and departing students using our third party providers
  2. Updating student records to show that transfers have been booked
  3. Advising students of their pick up time for all departure transfers

 

 

 

  1. Welfare

 

  1. Emergency phone rota participation– ensuring that there is 24 hour cover on the emergency phone and that all staff holding the phone know what to do in the case of an emergency call relating to accommodation and transfers Weekend participation will normally be once every four weekends

 

  1. A duty of care to students under the age of 18 and an ongoing commitment to developing knowledge of safeguarding regulations for children and young people in accommodation

 

  1. Student Satisfaction

 

  1.          Meet with all new students on their first day as part of their school induction programme
  2.          Be available throughout the day for questions from students regarding their residence and homestay accommodation
  3.          Manage problems or complaints efficiently and effectively, managing expectations where necessary. Any serious complaints can be managed with support from the Deputy Head Pastoral

 

  1. Person Specification

 

  1. Working and current knowledge of legislation and practice relating to Child Protection and Safeguarding
  2. Working knowledge of the ISI inspection framework and, National Minimum Standards for Boarding
  3. Certified at the enhanced DBS level (check undertaken prior to employment).
  4. Excellent administrative and organisational skills
  5. Experiencing of managing a team
  6. Ability to multitask and deliver against a number of priorities
  7. Professional telephone manner combined with a high level of spoken and written English
  8. Excellent team worker with the ability to negotiate and compromise whilst taking into account the views of others
  9. A keen eye for detail and a methodical and diligent approach to ensure quality and accurate results to any given task
  10. Excellent customer service orientation
  11. Computer literate (Word, Excel, Outlook)
  12. Able to adapt quickly to change
  13. Effective communicator
  14. Enthusiasm
  15. Professional appearance
  16. Experience of overseeing / managing facilities
  17. Current First Aid certificate (Training to be provided)
