Sr. Administrative Assistant

Job Description:


Dow Jones is seeking an Administrative Assistant to join their team and contribute to the overall success of the group by providing ongoing administrative support to DJMG, with a focus on operational excellence.

Primary responsibilities are to support the operational day-to-day duties for DJMG. All tasks, responsibilities and assignments must be completed with the highest level of quality and confidentiality. The ideal candidate should have an exceptional level of customer service and problem solving skills, the ability to work well in teams, manage change and possess excellent communication skills.


  • Input and reconcile all Purchase Orders across DJMG and serve as the point of contact for vendor support
  • Maintain record of all vendor contracts and freelancer agreements; and ensure that all contracts are executed before vendors or freelancers are onboard
  • Ensemble monthly budget reports across business unit, for a at a glance view
  • Order office supplies and equipment, and act as the liaison for the facilities team (handle maintenance issues)
  • Prepare and submit expense reports for senior executives
  • Coordinate team meetings,schedule meeting rooms, arrange audio-visual conference calls and order catering as needed
  • Serve as a back-up for the Business Manager to the Publisher
  • Assist with ad hoc projects and annual initiatives as needed


  • 3 to 5 years of experience required
  • Proficiency in MS-Office: Outlook, Word, Excel, and Power Point
  • Excellent oral and written communication skills
  • Strong organizational skill and time management skills
  • Ability to maintain high integrity and confidentiality
  • Able to multi-task and work in a fast-paced, team oriented environment with high accuracy
  • Strong interpersonal skills and ability to apply them at all levels internally and externally
  • Ability to step outside of the scope and accountability of principal responsibilities
