Summary Description
Global Workplace Solutions Coordinator role is to provide reliable, timely department financial reporting and forecasting. Support VP Operations supporting manufacturing and GWS organizations and Director GWS Real Estate & Ops with creating presentation materials, reports, research and other administrative duties. Coordination of delivery of departments vendor management program.
This is a fast-paced position that requires an individual who can juggle multiple tasks, prioritize responsibilities, and deal with customers while maintaining a positive and even keeled attitude. The nature of this work requires someone with an elevated level of communication, interpersonal skills, intelligence, common sense, and professionalism.

Essential Job Functions

  • Manage timely processing and reconciliation of department payables, including invoices and purchase card expenses
  • Enter and tracking of department purchase orders
  • Coordinate department monthly accruals
  • Adhere to Corporate Accounting guidelines regarding manual accruals and provide reporting and documentation at the end of each month
  • Manage and create budget forecast, analysis, and performance reporting. Present monthly/quarterly to GWS and Finance partners
  • Prepare presentations/dashboard reporting as needed. Continuously provide proactive and strategic solutions in aligning with finance and business goals with Opex and Capex budgets
  • Manage vendor management from RFP to ongoing vendor management and quarterly business reviews. Creating score cards for key services and delivery dashboard reporting
  • Set up maintenance and organization of department electronic central files
  • Assist GWS leadership with planning and scheduling group meetings, lead the development of departmental events and special projects for GWS team
  • Assist VP Operations with oversite of Manufacturing and GWS operations with schedule/calendar management, expense reports and travel coordination
  • Other duties as assigned

Education, Skills, Abilities, and Experience Required
  • Bachelor's (B.A. or B.S.) degree, 2-5 years of experience in supporting Facilities or Project Management teams or equivalent combination
  • Computer savvy. High level of proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint). Proficient in SAP, Oracle, or other business enterprise systems
  • Possess understanding of accounting principles and budget management to analyze and provide performance reporting
  • Excellent mathematical and analytical skills
  • Must be organized, accurate, and detail oriented with ability to proactively follow through on assignments and tasks
  • An in depth understanding of facilities management and project management strongly preferred
  • Ability to establish and maintain positive relationships with customers, vendors, and consultants
  • Ability to interact with staff in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism
  • Ability and ardent desire to work effectively as part of a team and to interact comfortably with all levels of management
  • Strong verbal and written communication skills
  • Ability to multi-task and prioritize activities in a changing environment
  • High initiative, enthusiasm, sense of urgency and energy should be clearly evident. Be both team player and independent contributor. Ability to consider "big picture" ramifications and actions
  • Must handle confidential and sensitive information with discretion and care
  • Must be flexible with changing job requirements, must be willing to work overtime when required
  • Ability to diplomatically resolve customer complaints and concerns
  • Must be resourceful and utilize knowledge of existing processes, procedures, and policies
  • Ability to lift and maneuver 25-30 lbs frequently
  • Individuals should have flexible hours
  • Stay abreast of new trends and innovations in the field of workplace and facilities
