About the Job

1. Accounts Payable

  • Check that orders are properly authorized, coded and GRV’d.
  • Ensure that original tax invoices are received for payment
  • Check that correct VAT numbers appear on tax invoices per VAT legislation.
  • Check that invoice, order dates and details correspond.
  • Liaise with Business Units if there are any disputes or queries.
  • Receive and capture invoices from Business Units
  • Prepare Daily Distribution amounts and report to HO to ensure availability of funds
  • Batch and prepare invoices for payment
  • Export payment to Standard Bank (CATS) system for payment release by signatories.
  • Upload new and/or maintain existing Vendors
  • Ensure payment documents adhere to Firm policies and procedures and Vat legislation.
  • Accurate SAP processing – invoice matching & Vat calculation.
  • Timeous completion of weekly pay cycles
  • Submission of remittance advices to suppliers
  • Filing complete and correct at all times.

2. Creditors Reconciliations

  • Reconcile payment to Creditors statement
  • Liaise with suppliers to obtain outstanding invoices and credit notes.
  • Investigate items under query/in dispute
  • Reconcile payment to SAP (Detailed Vendor account).
  • Ensure creditors recons are done monthly
  • Reconciling items to be address and resolved asap
  • Ensure payment terms are adhered to
  • Ensure SAP creditors are up to date

3. Expense claims verification

  • Verification and agreement of supporting vouchers to expense claims
  • SAP – Audit of non-mileage expense claims
  • All deadlines are met
  • Queries to be followed up timeously
  • Ensure Vat has been accounted for correctly

4. Team Support / Ad-hoc

  • Ad- hoc request from Finance Manager in line with job description.
  • Manage TMS accounts for Finance & Operations
  • Filing
  • Back up on Debtors, FNB corporate cards and Fixed Assets
  • All deadlines are met
  • Accuracy and timeously.
  • Queries to be followed up
  • Up to date filing
