Position Summary

We’re looking for a Production Specialist to join the team. As a Production Specialist you will be a junior member of the Production and Management Teams. In this role, you will plan and coordinate multiple small to mid-size events, and support the day-to-day operations on-site. Production Specialists also supervise the work of the operations staff, serve as the liaison between facility users and the facility staff, service providers, and other stakeholders, and are active in the profitable management of concession operations. We need someone with strong communication skills, both written and verbal, that can ensure effective communication between clients and production, as well as someone with strong attention to detail and team work skills. You will need to be service-minded and client focused, with the ability to determine our clients’ needs and propose creative solutions.


  • Minimum High School graduate/GED
  • Minimum 2 years hospitality experience

Duties and Responsibilities

  • Serve as liaison between client and operations
  • Effectively communicates both verbally and written, with all level of associates, clients, and all Convene departments in an attentive, friendly, courteous, service-oriented manner
  • Comply with Convene regulations to encourage safe and efficient conference center operations
  • Work closely with the Sales Department to prepare pre-program cost estimates
  • Assist Relationship Managers in getting clients through the contract phase
  • Determine program needs and conduct client site visits
  • Profitably manage Convene’s provided services
  • Responsible for creation and distribution of PEO’s (Program Execution Orders) and program diagrams
  • Responsible for maintaining Convene registration desk: greeting and checking clients in
  • Completion of all participant security badges
  • Work in conjunction with building manager and building security
  • Conduct daily site inspections of all conference center areas for cleanliness and maintenance
  • Assist clients and participants with any requests day of program
  • Create final invoices and collect program balances
  • Maximize efforts toward productivity, identify problem areas and assist in implementing solutions
  • Attend weekly production meeting and daily PEO meetings
  • Responsible for printing daily menus and signage for each program
  • Responsible for shipping, receiving, and storage of program materials
  • Conducts administrative support when necessary
  • Perform additional duties as requested by Production Manager and/or General Manager
  • Employ customer service and interpersonal skills aligned with Convene Core Values, GRIT
  • Maintain regular attendance in compliance with Convene standards, as required by scheduling, which will vary according to the needs of the conference center 

Physical Requirements

  • Flexible and long hours sometimes required.
  • Move, lift, carry, push, pull and place objects weighing less than or equal to 25 pounds without assistance
  • Reach overheard and below the knees, including bending, twisting, pulling, and stooping
  • Stand, sit, or walk for an extended period of time
