Position Summary
The Disruption Supervisor is responsible for overseeing the activities of the production team staff who provide exterior management and disruption mitigation functions to City of Hope. The supervisor assists in leading the provision of the City of Hope five-star experience to both staff and patients, family members, and vendors for the Duarte campus amidst the disruption caused by construction and other large-scale events.
The Disruption Supervisor must be able to interact positively with team members, construction project managers, landscaping vendors, patients, family members, visitors, employees, and all levels of management across the full spectrum of business unit owners and while also demonstrating ownership of deliverables. Ability to build and maintain rapport and adapt rapidly to shifting priorities is critical.
The role requires an exterior management professional with experienced qualifications, demonstrated experience at a supervisory level in a similar environment, and a strong background in quality production services or related fields. This role requires an individual who can coordinate, anticipate, and verify what is needed and can take action to mitigate a situation before it actually occurs. This position has little to no authority but is responsible of ensuring the exterior environment is always in the best condition and be able to influence without authority. This individual must engage others with courtesy and tact under all circumstances.
Specialized knowledge and experience in the operational aspects of landscape planning, mitigation implementation, and event support as well as the implementation of strategies and policies relating to these areas. Demonstrated experience managing complaint responses.
Key Responsibilities include:
Production Team Management:
Supervises in the following areas:
- Production team skills, progress, and morale as well as performance on daily tasks, large scale projects, and quick reaction requirements
- Landscaping vendor areas of focus, COH-requested tasks, and deficient locations as well as follow-up on outstanding action items and special requests
- Assisting of patients, guests, and employees with wayfinding or transportation assistance
- Inventory assignment/tracking, equipment maintenance/repair, and budget requests
- Daily campus aesthetic assessment surrounding areas of disruption recommending prioritization of projects/areas of focus and ensuring consistent standards are met
- Maintenance of patient and business confidentiality
- Anticipation of needs prior to others noticing something is amiss or out of place
- Ensures a willingness and ability to help others at all times both personally and with the team
- Coordination of exterior management or disruption planning needs with other departments and personnel
- Provision of updates to staff at beginning of each shift and supports team needs
- Proper execution of assigned duties
- Interactions with parking team, ambassador team, and construction teams
Manages in the following manners:
- Knowledgeable of and adheres to all COH rules, regulations, policies, and orders. Responsible for production team members on or at any assigned City of Hope locations
- Provides input to the annual operating budgets for the exterior management and disruption programs
- Effectively motivates, coaches, and leads staff to achieve prescribed objectives by providing clear performance expectations and regular feedback. Documents performance outcomes and ensures poor performance is addressed and high performance is recognized and rewarded
- Oversees the day to day processes for the production team regarding: radios, golf carts/vehicles, special events, normal task assignment, etc.
- Ensures exterior management services are supplied to agreed standards, within budget and to agreed timeframes while maintaining effective relationships with clients across the organization
Reports, Monitors, and Trains:
- Creates and maintains department records, reports, and files as required
- Creates and provide straining to all production team staff on a continual basis
- Enhances professional growth and development through participation in educational programs, reviewing current literature, and attending in-service meetings to keep up to date with current exterior management trends and developments
- Associate degree
- Experience may substitute for minimum education requirements
- 2 years of Supervisory or Management experience and 3 years of Landscape/Exterior Management experience
- Other high-profile production experience may substitute for landscaping
- Must possess effective written/oral communication and interpersonal skills with ability to deal with all levels of personnel and the public in a professional and effective manner; must be able to use initiative and independent judgment within established guidelines
- Must be able to prepare written reports and logs in neat, legible handwriting; may require computer skills
- Must be able to read and understand all operating procedures and instructions
- Must be able to handle pressure of working in and around high volume public environments
Preferred education experience and skills:
- 5 years of landscape experience in five-star environment
- 2 years of supervisory experience in a five-star environment
Additional Information:
- To protect the health of patients and staff and to comply with new State of California mandates, City of Hope staff are required to show proof of full vaccination prior to start date. Compliance is a condition of employment.
