Key Responsibilities include:
  • Facilitates, maintains, and monitors files for donations from estates, trusts, and non-probate gifts. This includes creating and updating constituent records in the CRM donor database system, tracking bequests using a tickler, and keeping organized electronic files.
  • Maintains contact and correspondence with attorneys, executors/trustees, courts, accountants, family members, and friends throughout the estate and trust administration processed.
  • Independently reviews estate and trust documents, including wills, trusts, beneficiary designations, inventories, and accountings to ensure that City of Hope's interest as a beneficiary is protected. documentation, inventories and accountings, estimating gift. If necessary, prepare pleadings for court filing (request for special notice, creditor's claim).
  • Processes checks for bequests (including credit if auxiliary related) and honors donor intent by designating the gift according to the terms of the will or trust.
  • Process non-cash bequest donations (stocks, treasuries, bonds, notes etc.) Collaborate with Treasury to determine whether City of Hope can accept the in-kind transfers, which includes obtaining and providing information for securities to be transferred following up on the transfer, and processing the payment after liquidation. Coordinate with Treasury on receiving and liquidating inherited IRAs.
  • Assist the Senior Executive Director Estate Administration with bequest budget projections. This includes monthly review of expected estate settlement activity, quarterly reporting with Corporate Accounting, and annual budget review and reporting.
  • In collaboration with the Senior Executive Director Estate Administration, and Office of General Counsel if needed, review receipts, releases, waives, and other legal documents that require City of Hope's signatures.
  • Partners with the Office of Philanthropy colleagues when appropriate to coordinate donor recognition when appropriate
  • When necessary, work with the Senior Executive Director Estate Administration and the Office of General Counsel on more complex legal matters, including will contests and other disputes where retaining external counsel may be needed.
  • Coordinate sale of items (real property, personal property, securities, etc.). Work closely with Corporate Real Estate Department on acceptance of real property, limited partnerships, and oil interests.

Basic education, experience and skills required for consideration:
  • Certificate in Paralegal Studies or equivalent experience may substitute. College degree desirable or equivalent work experience/training combination.
  • 5 years experience in legal environment with probate specialization or estate administration experience.
