The Coordinator will contribute to this vision by providing support for, and participating in, key processes and programs that sustain an office-wide focus on collaboration, efficiencies and metrics-based outcomes. Through the provision of administrative support, the Coordinator will be a part of creating our evolution into a perpetually campaign-ready, donor-centered, leading industry program to support City of Hope's mission. Under the general direction of the Manager, Planned Giving, this role provides assistance in the day-to-day operations functions of the Planned Giving department and fulfills responsibilities associated with the processing of planned gifts and various tasks/projects related to the Planned Giving marketing program. At times requires working with donors and beneficiaries.

Key Responsibilities include:
  • Process all types of planned gifts and some outright gifts. Prepare gift agreements for donor and COH signatures, thank you letters and other documentation and paperwork, internally, for COH Central Processing and Corporate Accounting. Prepare gift calculations using PG Calc software.
  • Assist with all fulfillment related aspects of the Planned Giving Marketing program including but not limited to entering marketing responses in AccessHope; managing email inquiries and updating constituent records and communications preferences; forwarding marketing referrals to Gift Officers, maintaining the publication inventory, and autodata scanning of responses to marketing outreaches.
  • Assist with queries, segmentations and data management related to marketing efforts.
  • Provide support to select Gift Officers; including but not limited to scheduling appointments, general correspondence, coordinating meetings/events and agenda materials, following up on action items, and mail distribution.
  • Answer departmental and select Gift Officer telephones, and route visitors and callers.
  • Assist in the preparation of planned gift proposals.
  • Assist with departmental projects as assigned, i.e. procedures documentation, maintaining the marketing repository, etc.
Basic education, experience and skills required for consideration:
  • 3 or more years of demonstrated administrative responsibilities with exposure to fundraising. Prior experience interfacing with Business Executives and Professionals. Experience using all Microsoft Office products (Word, Excel, Outlook, and PowerPoint) essential.

Additional Information:
  • To protect the health of patients and staff and to comply with new State of California mandates, City of Hope staff are required to show proof of full vaccination by September 30, 2021. Compliance is a condition of employment.
