Assistant to CEO
Reporting directly to the CEO, this position is responsible for providing executive and administrative support including managing the CEO's schedule, calendar and details associated with various work, community and personal events, coordinating projects, managing confidential assignments, as well as travel arrangements, meetings and conference calls. The Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. Acts as a gate-keeper such that the CEO can prioritize and maintain productivity. The Assistant to the CEO will be relied upon to utilize exceptional communication skills in composing and preparation of confidential correspondence, reports and other complex documents. Functions as a liaison to the CEO through regular interaction with all VIPs, including clients, bank executives, board members, and colleagues.
Assist the CEO with daily administrative duties and complete a broad variety of tasks that include managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging complex and detail travel plans, itineraries and agendas and compiling/preparing documents for meetings.
Communicate with Board members, S&P and Executive Committee, and other committees on the CEO's behalf and coordinate logistics and strategic activities.
Prepare written materials (e.g., emails, reports, presentations, correspondence, etc.)
Coordinate and organize a wide variety of activities and events (e.g., calls, meetings, conferences, etc.).
Support CEO in external commitments including service on external boards, committees and other groups.
Answer the phone, retrieve voicemails, and take messages, for the CEO.
Keep CEO informed of schedule, events, calls, and priorities.
Provide back-up administrative support for Chairman as needed.
Comply fully with all Bank Operational and Credit policies and procedures as well as all regulatory requirements (e.g., Bank Secrecy Act, Know Your Client, Community Reinvestment Act, Fair Lending Practices, Code of Conduct, etc.). Complete all required training.
1. Minimum 7 years administrative experience providing support for a C--level executive in a financial or banking organization.
2. Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
3. Bachelor's degree or equivalent experience required.
Skills and Knowledge
Advanced Microsoft office skills, including Word, Excel, PowerPoint and Outlook.
Strong interpersonal skills and the ability to build relationships with stakeholders including board members, executives at CNB and RBC and with colleagues at all levels in the organization.
Must be a self-starter with the ability to take-charge and work well under pressure.
Ability to multi-task and prioritize and manage projects. Excellent management, time-management, and problem-solving skills.
Strong written/verbal communication skills (writing, editing, and grammatical skills) particularly as it relates to business correspondence.
Demonstration of the highest level of integrity when handling confidential matters and, as such, requires diplomacy and discretion.
Self-motivated to learn and acquire new professional and personal skills as needed with a willingness and enthusiasm for self-discovery as it relates to personal success and accountability in the professional area.
