The nitty-gritty details about the position…

We are currently seeing an Administrative and Finance Assistant. Team members at Circa can come from a variety of backgrounds including high science, human health marketing, animal health marketing, etc., and possess a wide range of experience. At the most basic level, the Administrative and Finance Assistant role is a support position responsible for providing day-to-day administrative support and for assisting in the update and maintenance of bookkeeping tasks.

Job Accountabilities

  • Process and review vendor bills
  • Process and review credit card bills and allocate project related expenses, getting clarification as needed to properly assign expenses
  • Process and review expense reports
  • Develop regular and ad hoc reports and spreadsheets for management
  • Enter client invoices into database [Quickbooks]
  • Process and review all project expenses to ensure they are identified correctly as either billable or non-billable

Job Requirements

  • Professional administrative or data entry experience
  • Consistent attention to detail
  • Self-starter with the ability to work independently as well as with a team
  • Excellent quantitative, analytical and spreadsheet skills
  • Excellent organizational skills, follow-up skills, attention to detail and the ability to multi-task
  • Strong interpersonal and communication skills
  • Knowledge of the following Microsoft Office applications:
    • Microsoft Word
    • Microsoft Excel
    • Microsoft PowerPoint
  • Knowledge of QuickBooks and Workamajig a plus
