Sr. Administrative Assistant - Contract
Broadridge is hiring. Our team is actively recruiting for a top-tier part-time Administrative Assistant at our NYC location to assist with the running of our main Reception Desk. You will ensure the reception area is ran in an efficient and professional manner at all times, while warmly welcoming visitors and associates throughout the day. This is a temporary, Contract role.
Duties every single day:
You will greet guests as they arrive at the office
You will answer calls to our main Broadridge Reception line, as well as cover for EAs as needed
You'll organize and stock office supplies in various copy and self-service areas
You will be responsible for keeping the Reception Desk and Lounge areas neat and clean
You'll pre-register guests names into Angus Security System
You will arrange catering for meeting that have not already been handled by our EA team
You'll prepare and distribute daily meeting and visitor schedule for our Facilities and IT teams
You'll assist visiting ExComm members with ad-hoc requests
You will prepare weekly office availability matrix and assign open offices to visitors throughout the week
You will sign for and assist with package and special deliveries (UPS, Fed Ex, and Messenger Services)
You will process reception-related invoices and route other invoices to appropriate associates for processing
This will be a part-time role, hours will be 12:30 - 5:30 PM, Monday - Friday.
Minimum of 2-3 years office or equivalent experience
Proven Strong computer skills (Microsoft Outlook, Word, PowerPoint, Excel) Experience with switchboards a plus.
Extraordinary knowledge and experience working with Microsoft Office Suite (Excel, Word, Powerpoint etc.)
Advanced experience with calendar management, scheduling/meeting invitations through email (Outlook)
Write professionally, have excellent command of written English, grammar and strong proofreading skills
College degree highly desirable
Good oral communication and organizational skills;
Flexibility, positive demeanor and attitude
