We are actively seeking a Facilities Coordinator for our Deer Park office. As our Facilities Coordinator, you will work as part of a team that handles the day to day operations of the facilities. Your day-to-day activities will involve answering calls at the Facilities Help Desk, receive and refer visitors, dispatch facilities personnel, contact vendors and create and maintain name plate requests

Responsibilities:

  • Process and copy invoices to be sent to finance for payment while making sure they have proper signatures
  • Assist in resolving payment issues
  • Assist in obtaining proposals from contractors
  • Research alternative suppliers/vendors
  • Certificates of Insurance - contact vendors and maintain updated file for all COIs, ensure all meet Insurance Requirements from Risk Management
  • Organize, order & distribute uniforms for all Facilities Department associates across the domestic locations
  • Create and print signs for meetings and the Facilities Department
  • Schedule and coordinate internal and external meeting requests
  • Schedule conference rooms and meeting equipment requests
  • Prepare and distribute correspondence as necessary
  • Provide support for the Facilities staff
  • Attend meetings and take minutes when necessary
  • Set up new vendors
  • Process requisitions in Oracle
  • Order all facilities supplies
  • Keep inventory of all facilities supplies
  • Maintain monthly invoice and unplanned expense reports
  • Process check requests

Requirements:

  • Attention to detail
  • Good oral and written communication skills
  • Ability to take direction and work under pressure due to time constraints
  • Ability to prioritize
  • Punctual and dependable
  • Excellent knowledge of Microsoft Office package (Excel, Word, PowerPoint & Outlook)
  • 3+ years administrative experience
  • Associate’s Degree
