Sr. Administrative Assistant - Engineering

Box is looking for a rockstar coordinator to join our Engineering Business Operations and Strategy Team. In this role, you'll wear many hats. First and foremost, you'll be the right hand admin assistant to the SVP, Engineering. You'll also be the master events coordinator for engineering, and you'll  support our engineering business operations team in all things logistical.
 
You're eager learn and hit the ground running. This role lives at the heart of the engineering org, so knowledge of/interest in product and tech is a major plus.  Acute business judgement, incredible organization and project management skills are needed to enable the success of the SVP and the engineering org. 
 
You thrive in a fast paced, highly collaborative environment. Your insane attention to detail and top-notch organization skills are second to none, and you have the mature leadership and communication skills to make  impact across a large, cross functional organization. No job is too big or too small for you. 
 
RESPONSIBILITIES
  • Manage and optimize the complex and dynamic calendar of the SVP.  This includes coordinating across large-scale, cross functional orgs 
  • Plan and coordinate team meetings (taking notes, following up on action items, supporting room technology) 
  • Events:
  • Drive bi-annual, global Hackathon event 
  • Manage budget for planning and execution of internal engineering team events including happy hours and offsites
  • Drive monthly engineering TechTalks
  • Coordinate quarterly Product and Engineering All Hands 
  • Coordinate Women in Tech events and conference planning and execution 
  • Monthly expense reports for SVP, Eng
  • Manage purchase orders as needed 
  • Arrange domestic and international travel for SVP, Eng 
 
 
REQUIREMENTS
  • B.A./B.S. from top college or university
  • 0-2 years experience with making the impossible happen (e.g. operations/ project management, executive support, complex logistics management, etc.)
  • Excellent project management skills with and insane organization 
  • Desire to hit the ground running and own projects and processes  
  • Strong people skills with a proven record of building and maintaining relationships among a variety of stakeholders
  • Outstanding written and oral communication 
  • Ability to navigate ambiguity with aplomb 
  • Google Calendar, Salesforce, Coupa, Concur, Workday and/or Concur is a plus!
