Job Description: Administrative Assistant
BlackRock is sourcing an experienced Administrative Assistant who functions in an efficient, detail-oriented, professional and proactive manner. The ideal candidate has significant experience supporting senior management in a fast-paced global financial services firm as well as managerial and project management/analytical experience. The candidate should be a team player, resourceful, organized, professional, communicative, and able to leverage the managers' time by completing tasks independently. The position is based in New York, NY
Responsibilities:
- Provide additional core administrative support: maintain busy calendars; schedule meetings; ensure managers stay on schedule; meet and greet visitors and clients; coordinate conference rooms; arrange for AV needs and catering; set up and breakdown hospitality for internal and external meetings; make files and copies; bind presentations
- Provide Reception support as needed
- Handle travel planning including airline reservations, hotel accommodations, car rental reservations, car service arrangements and driving directions as needed
- Process expense reports with correct billing and out of pocket reimbursements via Concur
- Facilitate and execute the onboarding of new hires
- Participate in ad hoc projects and disseminate the information as specified
- Edit presentations and reports, proofreading documents for appropriate grammar, punctuation and spelling
- Ensure integration to functions and rest of FMA globally

Qualifications and Skills:
- Minimum five years of corporate administrative/analyst experience in roles that interfaced with external clients and executive management, preferably in a top financial services firm
- Superior skills in MS Word, Excel, Outlook, PowerPoint; experience and proficiency working with automated expense tracking, online travel and similar systems
- Excellent analytical, interpersonal, communication and organizational skills
- Passion for team building, forging connections and fostering firm culture
- Strong time management skills; ability to handle multiple concurrent assignments, with a high degree of accuracy, and meet deadlines
- Able and willing to work independently, with minimal guidance in a fast-paced, demanding environment
- College degree preferred, or equivalent experience
- Must be reliable, flexible true team player with a "can do" attitude
