Administration Assistant

Key Responsibilities:

Secretarial and administrative function

  • Secretarial support to the senior executives, including but not limited to diary management; travel arrangements and itinerary; assisting the credit card and out-of-pocket reimbursement and other daily secretarial support.
  • Providing support for global office executives travelling to Shanghai in their logistical arrangements, documents formatting, printing & binding, gift purchasing and delivery, etc.
  • Organize regular town hall and office meetings as requested, responsible for meeting notes and distribution
  • Be a key member for China People & Culture Committee, helping to promote BlackRock values and principles through contributions to the team and culture building in the office

Office administration and Company Secretarial support

  • Safe keep the company chop and manage the daily chop application and execution process based on the chop policy and maintain the chop execution record
  • Safe keep and administer the daily use of the WFOE's key legal documents, such as business license, paid-in capital certificate, audit report and other government regulatory documents
  • Archive and administer all the original legal document signed by the WFOE
  • Ensure accurate and timely filing of all government/regulatory reports and census
  • Assist with the regulatory and government entity engagements, manage the memberships and associated payments

HR support (interim)

  • Assist with internal visitors' visa application process including invitation letter, legal approval and signature/company chop application
  • Support foreign employees' visa application, working permit and residence application and archive the valid copies
  • Provide support to local HR vendors' activities, such as monthly payroll process, IIT filing, employee social benefits enrollment, health care plan enrollment and claim in conjunction with regional HR colleagues

Corporate Finance (interim)

  • Support company bank account and cash flow management, including bank opening, closing and transition, as well as document keeping
  • Assist with banking issues such as signatory change and document update
  • Assist with annual audit report issuance as well as annual and quarterly corporate tax filing requirements
  • Assist with invoice payment including liaison with Accounts Payable as required
  • Maintain original invoice (Fapiao) and store them securely as required by the local authorities


  • Minimum 3 – 5 years of administrative experience supporting senior-level executives
  • Degree qualified in BA/BS degree related subjects is preferred
  • Advanced MS Outlook and strong MS Word, Excel and PowerPoint intermediate skills
  • Fluent in both verbal and written English and Chinese communication
  • Strong interpersonal and relationship-building skills
  • Demonstrated ability to work independently and multi-task in a fast-paced, global environment
