Executive Assistant II

This position will report to the Platforms & Services Chief of Staff.

The highly experienced Executive Assistant II (EA) will support the President of Platforms & Services and the President's office. The EA will be responsible for the day-to-day coordination of the President's schedule. The EA must be professional, innovative, self-motivated and able to juggle multiple tasks in this fast-paced environment. The position will require the ability to use a high degree of tact and diplomacy in handling matters of that are critical or confidential in nature.

Primary Duties and Responsibilities:

  1. Support the President as the administrative focal point.

  2. Acts as a point of contact between INC, senior management officials, Senior Level Customers, employees and other important internal and external stakeholders for the President.

  3. Maintain the President calendars, arrange meetings and appointments. Record meeting notes during selected meetings and track meeting action items through completion by directing the workflow of other individuals within the president's team.

  4. Coordinate extensive travel for the Presidentand designated staff through the travel coordinator. Manage travel arrangements, expense reporting, and procurement card reconciliation.

  5. Coordinate, facilitate, and provide support for various conferences, meetings and events with a high degree of tact and diplomacy. Ensure presentations are prepared and technology is working prior to meetings to ensure effective meetings. Manage Telecon and Webex connections and coordinate Telepresence meetings and conference rooms. Handle the catering for meetings and events. Coordinate highly visible meetings and support International guests during these meetings.

  6. Perform general administrative duties including but not limited to: typing, copying, collating, stapling, preparing packages for delivery, filing, record-keeping, and data entry.
