Clinical Administrative Assistant

Job Detail: BAE Systems Inc., one of the world's largest defense contractors and a stable Fortune 500 Company, is hiring a Medical Office Coordinator to provide Occupational Health services for the Radford Army Ammunition Plant in Radford, VA.

Shift: Primarily Monday – Friday day shift.

Job Summary: The Medical Office Coordinator functions as a member of the occupational medical clinic under the direction of the BAE Systems Safety and Health Department. The Medical Office Coordinator will undertake a variety of day-to-day office and clerical tasks and will operate as an integral part in ensuring that the office operations run smoothly and are successful in supporting BAE Systems Occupational Health program.

Job Responsibilities & Skills

  1. Support and lead from a process improvement perspective, utilizing data to continually stretch towards higher levels of excellence and cost effectiveness.

  2. Maintain compliance with all external contracts between the facility and outside vendors.

  3. Supervise contracted services of laboratory, radiology, pharmaceuticals, laundry.

  4. Monitor the function, preventative maintenance, contracts and repairs of equipment and facility contracted services.

  5. Schedule and facilitate routine meetings incorporating staff, provider, and ancillary/support service input.

  6. Facilitate continuing education for staff.

  7. Maintain and ensure compliance of the clinic policies and procedures including OSHA, FMLA, ADA, and DOD.

  8. Develop, review, revise, and implement policies and procedures that guide and support the provision of services.

  9. Participate in the development and review of system-wide policies.

  10. Daily, Weekly, Monthly, & Quarterly distribution reporting

  11. Coordinate and schedule Drug Screen Program with third party verification according the BAE Systems policies.

  12. Working knowledge of medical terminology

  13. Ability to provide superior customer service

  14. Ensure all appropriate instruments and equipment are in compliance

  15. Follow up on any outstanding labs, diagnostics, and correspondence as necessary

  16. Competent with current HIPAA requirement and maintain patient confidentiality

  17. Maintain inventory of adequate medical supplies and appropriate equipment.

  18. Assist with incident investigations

  19. May perform medical testing including but not limited to drug screening, vision tests, hearing tests

  20. Ability to gather data, compile information and prepare reports

  21. Primary liaison between providers, clinical and safety, health, and environmental department.

Educational and professional requirements:

  1. High school diploma with at least 5 years of commensurate experience;

  2. Current BLS and AED Certification through the American Red Cross or American Heart Association;

  3. Compassionate with good communication skills;

  4. Problem solving skills and ability to multi-task;

  5. Excellent written and verbal communication skills;

  6. Strong organizational and planning skills;

  7. Excellent teamwork skills;

  8. Willing to learn new skills;

  9. Maintain appropriate Licensures, Certifications and insurance. Ability to obtain CAHOC, DOT Drug Screen, Urine Drug Screen, Breath Alcohol Testing

  10. Preferred Skills –Experience in Occupational Health to include working knowledge of OSHA and Workers Compensation is preferred, but not required. Associates Degree or higher is preferred, but not required.
