Administrative Assistant III

Job Description

Provides administrative support including taking messages, scheduling meetings, preparing correspondence, filing, etc. to nonexecutive employees or various functional areas of the company or for a specific project/business/technical unit. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc. Uses software for functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations.

Required Skills and Education

The job requires the use of our CMMS operating system MAXIMO as well as full understanding of MS office and Excel. Candidate must have communication skills to interface with our customers and vendors during daily activities.

  • Work with MAXIMO to generate work orders as needed.
  • Generate daily trucking schedules.
  • Answer multiple phone lines.
  • Generate and track PO's valued at over 1.4 mil..
  • Charge out in Oracle.
  • Process invoices.
  • Over see pool vehicle sign outs.
  • Generate annual insurance cards for the ES vehicles.
  • Administer the fuel card program.
  • Initiate and verify annual vehicle registrations.
  • Generate RCE's.
  • Use and reconcile P card.
  • General Filing.
  • Interact with GD sites.
  • Other duties as needed.

  • Preferred Skills and Education

    Requires an Associate's Degree or equivalent or High School education with a minimum of 5 years experience with the Plant Engineering Department.

    The Administrative Assistant must be knowledgeable in all facility locations in NH and MA. Along with specific dock locations
