Administrative Assistant - Engineering Labs

Job Description

BAE Systems in Minneapolis, MN is seeking an experienced administrative assistant.

The administrative assistant will provide conventional office support services to a group of approximately 50 engineering personnel. Additionally, they will support shop and lab procurement activities, monthly credit card statement reconciliation, contractor expense tracking, and calibrated equipment processing.

Qualified applicants will be asked to provide the following services and functions:

  • General administrative support
  • Schedule meetings (on-site and teleconference)
  • Purchase and maintain office supplies and equipment
  • Support the processing of personnel into and out of offices in the area
  • Procurement of common lab and shop supplies
  • Assist infrequent travelers with travel arrangements
  • Assist personnel in the office area with expense report preparation
  • Reconcile monthly credit card statements
  • Record and assist in managing contractor expenses
  • Assist in the collection, processing and shipping of equipment for calibration outside of the facility
Required Skills and Education
  • Ability to communicate and interact productively with employees at all levels within the company
  • Experience with handling financial records
  • Familiarity and experience with data bases
  • Familiarity with standard shipping processes
  • Familiarity and experience with Microsoft Office tool set (Word, Excel, PowerPoint)
Preferred Skills and Education
  • Associate degree in office management
  • 5 years of experience in a similar mixed office/shop environment
