Administrative Assistant

Job Description

BAE Systems is looking for an Administrative Assistant to provide administrative support including taking messages, scheduling meetings, preparing correspondence, filing, making travel arrangements, arranging catering, ordering furniture, etc to non-executive employees within a specific project/business/technical unit. Uses business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc. Compiles and maintains files, records of memos, correspondence, reports, etc containing confidential data where tact and discretion are necessary. Performs other duties and responsibilities as required.

Required Skills and Education

Requires a High School education or equivalent plus up to one (1) year specialized instruction in general office procedures, and a minimum of four (4) years directly related experience; or a High School education or equivalent and six (6) years' experience.

Basic computer skills, familiar with Microsoft Office applications (Word, Excel, Outlook)
Good organizational abilities
Good at multi-tasking
Good verbal and written communication skills
Able to learn company tools such as:
- Catering - Sodexo dining room requisitions for catering needs
- Coupa - Ordering and receiving office supplies, IT supplies, computer ordering
- Maximo - Create general facilities work orders for area, including personnel moves
- CONCUR - Travel Booking and Expense Reports for the department
