Job Description: 

ASCAP is seeking an Executive Assistant to support our Executive Vice President of International Affairs and our Executive Vice President of Licensing. This position will be based in our New York office and will be responsible for providing day-to-day administrative support for both executives as well as assist in coordinating various functions for the departments. 

Responsibilities: 

  • Provide administrative support to the EVP of International Affairs and EVP of Licensing.  
  • Interact and correspond with all levels within the organization and external organizations including senior management
  • Prepare and revise written documents and correspondence as needed.
  • Provide calendar support
  • Coordinate travel arrangements, car rentals, and create itineraries and travel packets.
  • Create expense reimbursement forms and track various business expenses.
  • Coordinate onsite and offsite meetings.
  • Liaise with outside vendors as necessary.
  • Create and/or maintain accurate files.
  • Maintain confidentiality of sensitive information.

Requirements:

  • A minimum of 5 years of experience; media/music industry experience preferred
  • A minimum of 2 years experience coordinating travel arrangements both Domestic and International 
  • Experience managing multiple calendars
  • Exceptional written and verbal communication skills
  • Ability to prioritize work responsibilities 
  • Ability to exercise good judgment and maintain the highest level of confidentiality
  • Ability to multi-task and handle shifting priorities/deadlines with grace and a positive attitude
  • Ability to work well in a team environment with others
  • Reliable and punctual
  • Flexible work hours
  • High level of proficiency with MS Office (Excel, PowerPoint, Word)
