Job Description:

immixGroup is seeking an Events Specialist to join its Marketing team. Under the guidance of the Senior Manager, Marketing Events, the Events Specialist is responsible for the planning, promotion, and execution of marketing events to support immixGroup's public sector business. Events to be managed include but are not limited to training classes, seminars, briefings, multi-client events, tradeshows, networking events, social gatherings, sports suites, and business receptions. This position works closely with our internal sales and marketing teams, as well as our clients and vendors.

Essential Duties & Responsibilities

  • Manage the lifecycle of events; develop event plans, including timelines, budget creation and tracking, pre and post promotional plans, sets objectives and reports on ROI, leads pre and post event meetings
  • Plan and execute all event logistics, including production of attendee materials, online promotion, catering and AV arrangements, exhibit orders, on-site registration, coordinate shipments of material, coordinating other logistics as needed
  • Work with our exhibit house to reserve booth properties on upcoming tradeshows
  • Manage the use of table top properties such as banner stands, table drapes, giveaways, and booth promotion resources
  • Coordinate with internal and external stakeholders for successful event planning and execution
  • Coordinate with immixGroup's marketing staff for promotion and online posting of all events, attendee email invitations and registration, and post event follow up
  • Maintain and manage immixGroup's Events Center to create a professional, best-in-class environment for event attendees. Responsible for scheduling, executing rental agreements, communicating with event POCs, and logistics
  • Specify and acquire promotional items used in conjunction with immixGroup events
  • Provides support to Marketing Events Manager by coordinating logistics support for event and meeting planning and assisting in event site selection
  • Supports our annual Government IT Sales Summit
  • Maintain and distribute accurate event registration and attendee lists
  • Provides onsite support at events to liaise with venue, provide vendor management, attendee registration, sponsor coordination and support
  • Close-out activities which includes collection of all invoices and submitting for payment, reconciliation of event actual budget, invoicing for sponsorships, creating post event summary and debrief materials, and coordinate post event conference call meeting and with stakeholders to review event
  • Makes recommendations to make events more effective and efficient, looks for cost savings
  • Back up instructor for immixUniversity's Event Management class

Position Requirements

  • 5–7 years of related experience
  • B.A/B.S. degree
  • Experience in B2G marketing events
  • Ability to work outside of normal business hours and travel as work projects require
  • Physical activity is required, including long hours of standing, walking, lifting, and carrying of boxes of materials, exhibits, or supplies

  • Ability to effectively communicate event requirements, deadlines and deliverables
  • Proactive and demonstrates a sense of urgency as required
  • Ability to comfortably present event summaries to a live audience
  • Knowledge and experience in event promotion; familiar with social media
  • High energy, self-motivating, strong team player
  • Friendly, enthusiastic disposition
  • Knowledge of job-related software applications, Microsoft Office products, event registration, marketing automation, and CRM
  • Experience with etouches and Eloqua preferred.
  • Excellent problem solving skills
  • Contributes to process improvements
  • Provides informal guidance to junior staff
  • Works with minimal guidance
  • CTSM or CMP designations preferred
