Operations Specialist

The Operations Consultant is a highly visible position that reports directly to the Professional Services Operations Manager and will play an important role in helping grow Professional Services in order to drive overall company growth. The Operations Consultant is responsible for supporting the back office operations for Professional Services. This role will reside on the PS team, but have dotted line connections to one or more Project Managers and Account Managers. This is a highly visible role with a chance to make a significant impact on the business. How you'll contribute:

  • Responsible for resource management and staff assignment using Projector
  • Act as PS Ambassador for New Hires, conduct Welcome meeting, organize and maintain Onboarding materials (PS specific, not HR onboarding)
  • Work closely with Finance team to analyze monthly reports, and track missing/incomplete/incorrect timesheets
  • Responsible for creating and managing a space allocation system for the office, including permanent space for on-site consultants, and a hoteling system for traveling consultants and visitors
  • Collect, organize and contribute to the creation of Proposals, Statements of Work and Subcontractor Agreements, including visual representations such as graphs and charts
  • Maintain content for PS presentations, proposals, SOWs, COE, training, etc
  • Maintain/control/report career management activities such as annual reviews and AC mentoring
  • Using Projector – create/activate new resources, inactivate resources, run PeopleSoft Error Log for missing resources
  • Create Partner SOWs for T&M or FFP contracts
  • JIRA – review request/task to create new users and projects, reset user password, remove existing users from group(s)
  • Update and maintain the PS site
  • Review request to grant/deny access to files and folders for PS Google Drive
  • PS Quarterly All Hands Meeting – meet to discuss topic/agenda, schedule WebEx and send calendar invite to staff, draft and coordinate PowerPoint presentation

 About You:

  • Bachelor's degree in Business, Finance, Marketing, or related field
  • 4-6 years of experience in a project coordination or operational role, specifically for a consulting organization
  • Expert in Excel - must be proficient in creating and manipulating Pivot Tables
  • Project management experience specifically, experience working with partners, subcontractors, and financial reports
  • Problem solving and visual presentation skills a must
  • Proven ability to manage high volume of activity effectively in a matrix resource environment
  • Strong communication skills, both written and oral, and team-driven focus is essential as this team member will be expected to act independently, as well as collaboratively, with customers, peers, partners, and managers to ensure customer satisfaction and team goal achievement
  • Experience working in a services organization within a software company is a plus
