The Associate HR Onboarding Specialist is a key member of Anthology''s Global HR Service Delivery Team, supporting the organization''s broader Global HR Consulting & Delivery function. Anthology has employees in 20+ countries and the Global HR Consulting & Delivery function supports employees through the full employment lifecycle.

This position will report to the Senior Manager of Global HR Service Delivery and will work closely with the broader global HR team to support Anthology''s global and dynamic workforce. As an Associate HR Onboarding Specialist, you will be responsible for successfully hiring and onboarding new Anthologists across the globe. This is an excellent opportunity for the right candidate to develop their operational HR expertise in a fast-paced and collaborative learning environment.

Primary responsibilities will include:

  • Handling candidate handoff from Talent Acquisition to ensure a smooth hiring and onboarding experience for new employees
  • Partnering with Legal and Talent Acquisition to draft and distribute global offer letters/employment agreements
  • Distributing onboarding paperwork and administering background checks; partnering with the Talent Acquisition team to ensure timely completion of onboarding tasks and following up with candidates as needed
  • Hiring of new employees into the HR system and other internal systems as needed, and coordinating with other internal departments and stakeholders, such as IT and hiring managers, to ensure proper new hire setup
  • Reviewing global work authorization documentation, including processing I9''s for U.S. new employees
  • Conducting new employee orientation and welcome sessions
  • Collaborating with the broader HR and Legal teams to regularly update onboarding materials and processes and ensure consistent application
  • Maintaining accurate and up-to-date electronic personnel files and performing weekly audits, while maintaining strict confidentiality of all records
  • Investigating and answering questions from candidates and hiring managers regarding onboarding processes/systems
  • Partnering with HR team to administer the company''s onboarding survey; owning survey distribution reporting of results
  • Providing ad hoc support of other local HR programs and services

The Candidate

Required skills/qualifications:

  • University degree in Human Resources, or a business-related field and/or equivalent combination of education and/or experience
  • Ability to maintain attention to detail in a fast-paced environment
  • Fluency in written and spoken English at CEF B2 level or above
  • Strong communications skills
  • Basic knowledge of HR/personnel practices and principles
  • Ability to be proactive and think outside of the box to effectively problem solve
  • Openness to collaborate with team members across several organizations, ask questions, and research to understand how to best respond to internal clients
  • Ability to modify and adjust individual approach and delivery to fit specific situations
  • Experience working with diverse populations
  • Ability to work independently and multi-task in a highly dynamic environment
  • Ability to handle a high level of confidentiality regarding employee information
  • Proficiency using Microsoft Office applications (Excel, PowerPoint, Word, Outlook) and Office 365

Preferred skills/qualifications:

  • 1-2 years of experience
  • Prior experience working in a global organization on a geographically dispersed team
  • Experience with Oracle HR and Financials, ADP and/or UKG
  • Experience with applicant tracking systems
  • Experience drafting global employment agreements/offer letters
