The Amazon Marketplace team is seeking an exceptionally talented, customer service obsessed, resourceful and self-motivated Executive Assistant to support the Marketplace leadership team. This person will work within a fast paced global team and will play a key role in shaping Amazon's future.

In this role you will support the Marketplace Leadership team, partnering with the existing team of executive and technical assistants to offer end to end support. This role demands a strong sense of urgency and the ability to work independently on assignments with sound judgment. The right candidate will have a strong sense of ownership and bias for action, be customer-service oriented and the ability to meet tight deadlines. Having great organization skills and the ability to switch gears at a moment's notice will ensure success. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is imperative.

Key to the position is the ability to handle calendar and administrative support for senior executives, keeping them organized, prioritized and on time while maintaining a high level of professionalism and positivity. Candidate must have the ability quickly learn organizational structure, team objectives and adapt to Amazon values and vision. Some overtime may be required. Some overtime may be required.

Responsibilities include:

  • Effectively and proactively support executives across the Marketplace organization
  • Meeting support which includes making necessary arrangements for meetings and conference calls - including but not limited to booking conference rooms (and determining room set up), support of video conferencing, teleconferencing, meeting meals and meeting materials.
  • Supplemental calendar support. Manage calendar as a back-up during leaves of absence or vacations and when new executives join the team.
  • Travel arrangements (domestic and international)
  • Expense report reconciliation
  • Organizing, prioritizing and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed
  • Space management including partnering with Marketplace space team on team moves/shuffles, visual art projects and branding
  • Large event coordination which may include: creating vision for the event, negotiating with and securing vendors and venues, creation of purchase orders and partnering with legal to complete required contracts. Events may include: organization wide all hands, domestic and international leadership off-sites, university engagements, speaking engagements and team social events
  • Document and Power Point creation, editing and proofing
  • Serve as a business partner ensuring strategic, proactive and thoughtful support of the rhythm of the business

Basic Qualifications

  • Minimum of three years of experience providing senior executive level support
  • Advanced knowledge/experience with Microsoft Products (Excel, Outlook and SharePoint)
  • Event coordination experience
  • Desire to with others and take on ambiguous tasks
  • Associate's degree
