Responsibilities

The Aerospace Corporation is looking for an experienced administrative specialist to support the associate general manager for the Systems Engineering Division, a 300+ person organization with staff in multiple locations across the country. Additionally, the position provides specific support to the Architecture and Design Subdivision, working as part of a three-person, cross-country team. The primary focus is supporting staff in the Chantilly area, and coordinating with team members in other locations. This is a dynamic and high-impact opportunity to be involved in a transformative organization that is shaping the future DoD and Intelligence Community space enterprises. Key Functions

  • Specifically contribute to two key teams - a division level partnership with the division's general manager's administrative assistant, and a three-person team providing administrative support to the Architecture and Design subdivision
  • Collaborate at multiple levels - work with the support team and assistants locally and across the country; this includes supporting higher-level organization efforts (group, corporation) as well as cross-organizational efforts including organizing and support all-hands meetings, off-sites, employee and corporate celebrations, and other functions
  • Keep the associate general manager informed and organized - by gathering, compiling, summarizing and reporting communications from across the corporation; by managing a complex calendar
  • Keep the travelers traveling - prepare travel requests and expense reports; arrange and track travel for subdivision leadership and staff at many levels
  • Use technology to keep the team connected - develop and maintain shared resources; schedule and establish audio-visual connections across diverse locations and time zones
  • Varied administrative and office support work - expert-level use of Microsoft Office applications; learn and share knowledge of new tools as they are introduced (e.g. Workday); prepare and maintain purchase order requests; prepares, formats, reviews reports, memos, correspondence and forms
  • Perform duties with tact and discretion - handle confidential and personnel information appropriately; support sensitive management functions; coordinate and oversee security procedures


Qualifications

Required

  • High School Diploma
  • Expert-level user in Microsoft Office, specifically Outlook, Skype, Word, Excel, and SharePoint
  • Experience with domestic travel coordination
  • Exceptional written and verbal communication skills
  • Impeccable organizational skills
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside of the company
  • Ability to learn and share knowledge of new tools as they are introduced
  • Ability to think and plan-ahead while managing real-time changes and priorities
  • Demonstrated ability to work well with others in a team/collaborative environment
  • Demonstrated flexibility and ability to adapt to changing organizational needs
  • Effective interpersonal skills to coordinate efforts and work with other internal and external organizations
  • Ideally 10 or more years of relevant experience with a High School Diploma (higher education degree can be used in lieu of experience)
  • This position requires the ability to obtain and maintain a security clearance, which is issued by the U.S. government. U.S. citizenship is required to obtain a security clearance


Preferred

  • Bachelor's degree
  • Current Top Secret clearance with SCI access
  • Knowledge of Aerospace policies, practices, travel, and procurement
  • Familiarity with Aerospace customers, especially in the Washington DC region
